Creating and using Coupons (CHILLI)

Introduction

Markus_ Back Office allows users to create promotional codes for specific products/items, etc. 
This manual will show You how to create special coupons for Your usecase.

Required programs

Markus_ Back Office ver. 3.4.0 and up
Markus_ Front Office ver. 3.4.0 and up

Overview of steps

  1. Create necessary products and configure them to Your needs
  2. Add product to relevant price lists and layouts
  3. Create a promotion with coupon registration requirement
  4. Add necessary products to the configuration
  5. Create Coupon Template
  6. Connect Coupon Template with Promotion
  7. Create Coupons
  8. Export Coupons

Step 1 - Creating Products

Create new products that will be added to the promotion created in the next steps. 
In this current case, products are created specifically under the CHILLI category in the product category tree. 

CHILLI special case
Since CHILLI products are sold only for takeaway customers, the packaging must also be added.

Navigating to the Product Modifiers & Packaging tab in the product screen, the packaging option must be added. Adding this product to the basket when the dining option is selected as Takeout, will add 0.25€ to the total cart sum. 

Product Availability in restaurants
Some products might be sold at multiple restaurants but we do not wish to create a restaurant specific product.
To avoid multiple products, You need to add Keywords to hide the product in selected restaurants
To add the keywords, open the product card and navigate to the "Keywords" tab

From this tab, You can add multiple locations with the "+" icon ath the bottom.
Select the Sales Point and keyword "HIDDEN". This will hide the product in Your selected restaurant menus. 



Step 2 - Creating the promotion

From Business -> Promotions You can see already created promotions. 
Right click on a white space ("New" when You're in the Promotions window) or select "New" from the top left of Markus_ Back Office.

This example shows the promotion for specific products. 
To only use coupons for specific products, configure the following:
  1. Scope - Select "Single Product" as we're creating a promotion for specific products.
  2. Tick the box for Coupon ID Registration requirement
  3. Set the active dates for the promotion
  4. Define the discount by selecting "Pay Full Sum for the Item"
    1. This will make the code pay for the item at the price set in Price List
  5. You can limit the code usage per transaction by increasing/decreasing the limit "Usage Limit Per Transaction"
    1. This means how many codes can be used per transaction. If set to "1", only one code can be used per transaction even if there are multiple eligible products.
  6. Attach the necessary products to the promotion with the "+" icon at the bottom of the window. 
    1. Select products from Your product library with the "..." button under "Product Name"
  7. Navigate to the "Restrictions" tab 
    1. Set the Validation Method as "Coupon" at the bottom

  8. Finally, naviaget to the Sales Channels & Comments tab
    1. Select the Sales Channels that You want the promotion to be active at by ticking the boxes

Step 3 - Creating a Coupon Template

Start with navigating to the Coupon Template section. Business -> Coupon Templates

Create a new Coupon Template

  1. Name the Coupon template
  2. From the dropdown menu, select the promotion You just created
  3. Configure the active dates
  4. Save the window - do not close since we want to create the coupons in the next step from this window.

Step 4 - Creating Coupons

Having the Coupon Template window open, select "Create Coupons" from the top of the window - a pop-up window will open

  1. From here, select the company name You wish the coupons to be attached to. This does not send any information to the business. 
  2. The promotion should already be selected since You started the creation from under the Coupon Template that has your promotion attached. 
  3. Select the quantity of how many coupons You wish to be created. 
  4. The active times are selected from the template - You can also set them here.
  5. Clicking "OK" will generate the coupons and after a successful creation, a confirmation message will appear. 


Step 5 - Exporting Coupons

All Coupons can bve found under Business -> Coupons
From this table, all coupons from all templates are visible. By default, coupons generated today will be shown.



  1. To export Your created coupons, you need to filter out Your codes first
    1. Filter by the company that You attached when creating the coupons and You should see only the codes You just created. 
  2. Having the complete list, navigate to the Data Exchange Tab at the top
  3. Select "Export to Excel (XLSX)" and confirm the destination folder
  4. From the excel, You can easilly mass-copy the codes where needed. 

Coupons Created can now be used in the set Sales Channels. 

NB
Packaging sets are not covered by the coupons. This means that customers need to pay extra for the packaging option. (0.25€ usually)
