Tax determines Value Added Tax (Sales Tax) rate that will be applied to the Net Price of a product/ ticket when it is sold.
By following these steps, you can seamlessly configure taxes in MARKUS, add new rates and update existing ones for accurate financial and sales reporting. These guidelines ensure a streamlined process for both initial tax setup and subsequent changes across your tickets and products.
If there is an overall change in tax rates, it is highly recommended to establish new tax rates and apply these by using Change Tax tool. Failure to do so will affect previous reports and sales data.
Adding New Tax Rates
You can add/ edit tax rates using "Registers" menu -> "Financial" section -> "Tax" command:
The Tax dialog box will open. By clicking on the "+" icon in the main toolbar a new empty row will be added:
Fill in the following details:
- Name: Assign a system name for internal use. We recommend adding tax rate % as well, this way it would be easier for users to select the correct tax when applying it to products/ tickets.
- Tax Rate: Specify the correct tax rate.
- Description: Optionally, provide a description.
- Accounting Code: Mainly used in the MARKUS-Accounting system interface.
- FMB Code: Utilized between MARKUS and Accounting system interface.
- TAX Translations: Add translations for languages used.
Note: If there is an automatic interfaces between MARKUS and your accounting system, coordinate with the accounting team to ensure correct account numbers and codes are assigned to relevant taxes in MARKUS.
- And then Click on the green "End Edit" button and "Close."
Subsequently, you may start using the tax rates that have been previously configured when inserting new ticket and product objects into the Back Office.
Changing Tax Rates on Existing Products and Tickets
Go to the "Tools" menu and open "Change Tax" from the "Technical" section:
The Change Tax dialog box will open. This option has three sections:
- Tax Mapping
Click the "+" (Append) button to create a new line.
From the drop-down menu, select the old tax, and next to it, choose the new VAT column to replace the current tax.
- Which Price to Change
Choose either "Change Net Price" - the price the customer pays remains the same
"Change Gross Price" - the net price remains constant
- What to Update
Select whether to update only products, only tickets, or both. Only items with the taxes listed in the Tax Mapping section under the Old Column will be updated. Finish the change by clicking on the "Apply Tax Changes" button.
Following the update, a new tax rate will be implemented for all products and/or tickets sold.
Product and Ticket Default Tax Rate Configurations
A default VAT rate can be assigned to both new tickets and products, applying it whenever a new ticket category or product is created. You have the flexibility to manually override the default VAT rate for a ticket category or a product on their respective card. Default VAT rate settings are configured in MARKUS Back Office through the Tools -> Options Menu.
To access this settings, navigate to the main menu, open "Tools" -> select "Options" -> activate the "Tickets & Products" section.
Tickets & Products section is divided into two categories - Ticket Category and Product. After the tax line, choose the appropriate default tax from the dropdown menu. Ensure to save the changes by clicking on "OK."
Voucher Tax Handling Configurations
"When there is a general change in VAT, it's crucial to consider the impact on generated vouchers. These vouchers may have specific tax rates linked to their generation.
A setting in the Options dialog governs whether vouchers with different tax rates can be used. It's essential to verify this setting, particularly if you intend to use old vouchers with outdated tax rates on tickets and/or products with new tax rate.
To access this setting, navigate to the main menu, open "Tools" -> select "Options" -> activate the "Vouchers" section:
Within the Voucher Tax Handling section, you can view and modify the current settings:
- Voucher Tax Mapping Policy has two values:
1. Match Tax Rate - This requires the tax rate on the issued voucher to match the tax rate of the corresponding product or ticket. For instance, a ticket voucher sold with a 20% tax rate can only be applied to a ticket with a 20% tax rate.
2. Any - This option permits the application of a voucher with a different tax rate on products or tickets. For example, if gift tickets were sold with vouchers having a 20% tax rate, these vouchers can be applied to tickets or products even after the tax rate has been updated, provided the Voucher Tax Mapping Policy is set to "Any".
- Voucher Tax Applying Policy has three values:
1. Voucher Payment Does not Change Product Tax - Using a voucher as a payment method will not alter the tax assigned to the redeemed product or ticket.
2. Voucher Payment Overrides Product Tax - Using a voucher as a payment method will change the tax assigned to the product or ticket, aligning with the voucher's tax option.
3. Voucher Payment Overrides Product Tax Only When Voucher Tax Rate is Non-Zero - This functions similarly to the previous option but only if the tax rate on the issued voucher is greater than 0%.
Careful consideration and potential discussion with the accounting team are advised when combining the Voucher Tax Mapping Policy and Voucher Tax Applying Policy to ensure alignment with business needs.
